Compensation:
- W2 (with benefits) $21.50/hr
- 1099 (no benefits) $33/hr
Job Overview:
We are seeking a detail-oriented and experienced Records Digitization Analyst to join our team for a six-month project with the U.S. Department of State's Diplomatic Security division. The selected candidate will be responsible for the digitization of sensitive and classified documents, ensuring that all records are accurately scanned, stored, and meet the quality standards set by the National Archives and Records Administration (NARA). This role is crucial to the success of our Records Digitization Effort, aimed at enhancing accessibility and preserving essential government records.
Key Responsibilities:
Document Preparation:
- Remove staples, fasteners, and other bindings from paper records.
- Organize documents for scanning, including separating necessary items such as requester letters, outgoing letters, and document lists.
- Copy degraded or onion skin paper onto standard paper to ensure legibility.
Scanning and Digitization:
- Operate scanning equipment to convert paper documents into PDF files.
- Ensure digital files are named and organized corresponding to their original file names whenever possible.
Quality Control:
- Perform detailed quality checks on digitized files to ensure PDFs are legible, searchable, and compliant with NARA standards, particularly those outlined in 36 CFR Part 1236 Subparts D and E.
- Correct any issues found during the quality control process before final submission.
File Management:
- Upload digitized files to the approved cloud-based storage platform.
- Return physical copies of documents to the designated program offices after digitization and upon approval of the digital copies.
Reporting:
- Participate in monthly project status meetings, providing updates on progress, issues, and recommended actions for mitigation.
- Communicate regularly with project management and government representatives to ensure project milestones are met.
Qualifications:
- Security Clearance: Active Secret clearance required.
- Experience: Previous experience in document digitization, records management, or a related field is preferred.
- Knowledge of NARA Standards: Familiarity with 36 CFR Part 1236 Subparts D and E is highly desirable.
- Technical Skills: Proficient in the use of scanning equipment and software, as well as cloud-based file storage platforms.
- Attention to Detail: Strong ability to perform meticulous tasks with a focus on accuracy and quality.
- Physical Requirements: Ability to perform repetitive tasks such as removing staples and organizing documents.
- Communication Skills: Excellent verbal and written communication skills, with the ability to report progress and issues effectively.
